About the role

Job summary

This role is an exciting opportunity for an Executive Assistant to support key members of an Executive Leadership team, managing priorities, coordinating schedules, and facilitating efficient information flow across the organization.

Qualifications

  • Minimum of two years' experience in an Executive Assistant position, working closely with C-Suite stakeholders.
  • Experience in managing complex diaries and preparing meeting agendas.
  • Strong background in travel booking and event management across different time zones.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills with the ability to adapt to shifting priorities.
  • Proficient in Microsoft 365 Suite, especially PowerPoint and SharePoint.
  • Familiarity with AI tools to enhance task delivery.
  • Ability to work independently in a fast-paced, remote environment.

Responsibilities

  • Manage complex and dynamic diaries for multiple Executive stakeholders.
  • Attend meetings, take notes, and distribute actions effectively.
  • Prepare agendas and supporting documentation for meetings.
  • Oversee the management of team offsites, social events, and travel bookings.
  • Coordinate wider team meetings and provide support to the Executive Assistant Manager.
  • Offer additional support within the team, including covering for other Executives as needed.
  • Proactively identify ways to streamline processes for the Executive team.

Skills

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Ability to work across different time zones and adapt to varying schedules.

Education

  • Relevant experience in an Executive Assistant role is essential.

Tools

  • Proficient in Microsoft 365 Suite, Slack, Zoom, and other remote-working tools.
